Searching and Filtering Reports
On the reports list screen, you can see all the reports that you have access to according to the report status you have selected at the top, with some columns showing you the answers to those reports.
Finding reports by eye
To pick which fields you would like to see, you can use the “Select Columns” button in the top corner of the screen, which will then change which detail about each report will be shown. If a report does not have an answer to that question, that report will show a blank answer in that column.
Sorting reports
Clicking on the heading of a column will order the results by that column, selecting again for reverse order. An arrow in the column indicates which column is currently responsible for the order, and the direction of it. By default, the reports are ordered by the ID column.
Pagination
If there are more than 50 reports that match a query, these results will be broken into multiple pages, and you can move through the pages using the page buttons below the report list. The number immediately above the reports list shows the complete number of reports that match the query.
Finding a report by ID
If you know the ID number of a report, you can press the "Search" button at the top to open a text box to enter that number and go straight to that report.
Finding reports by keyword
If you are on a silver package or higher, you can also enter text into this field to find all reports where that text is mentioned in the answers. This is designed for free text box questions only — if you want to find all reports which selected a particular option in a multiple-choice question, use a filter.

To filter reports based on multiple-choice questions, time, outcome, status or reporting form, use the report filtering system.
Exporting data
In general our Analytics system should allow you to analyse data without having to download it. For cases where that isn't possible, you can export an Excel spreadsheet of the reports in your system. To do this, select the Export button on the Reports screen. This will generate a password-protected Excel spreadsheet and give you the password on screen (the password will be 3 random dictionary words), and a button to then save the export to your computer. Please ensure that this export is handled with care and please note that the password can not be recovered once the screen is closed.
You should use filters and column selection to make sure you export only the values you need to perform your analysis.
All exports are recorded in the audit log section of the administration screen.
